Duties and responsibilities

Coordination with procurement, shipping & Logistics

  • Receive material shipping notifications (SN).
  • Analyze the packing lists and confirm the delivery locations.
  • Coordinate with the local logistics team to receive the site delivery schedule for bulk and container shipments.
  • Coordinate with the forwarder & transporter to deliver the materials at the designated warehouses as per the project requirements
  • Receive and follow up on the gate pass requests for material delivery to the warehouse.

Establish Materials storage laydowns and warehouses

  • Identify the required area for material storage as per the MTO list.
  • Establish and train the crew to handle the material control activities as per project requirements.
  • Map the layout and warehouse prior to materials receiving in order to locate and track the materials easily.
  • Provide initial training on warehousing activities to the newly hired workforce.
  • Conduct a mass mass tool. Box talks with all personnel working in the laydown to create awareness about safety requirements for performing warehouse-related activities.
  • Coordinate with the HSE department to ensure compliance with project-specific HSE rules.
  • Coordinate with the rigging department to comply with the rigging regulations for the loading of the material, offloading, and movement.
  • Ensure all warehouse equipment, like a forklift, crane, pallet jack, etc., is marked with safety tags.
  • Give the forecast to the subcontractor to arrange the offloading equipment, manpower, tools, tackles, etc. required for the warehousing activities as per the requirements.

Materials Receiving, Off-loading, Inspection, Storage & Issuance

  • Notify the concerned sub-contractors to arrange the material offloading at the designated storage locations in the laydown/warehouse as per the delivery notifications.
  • Instruct the supervisors to carry out the material offloading as per the packing list and delivery notes.
  • Verify and Issue Daily Materials Receiving Report (DMRR) to management, construction, etc.
  • Coordinate with the supervisors and subcontractors to carry out inspections of the received packages.
  • Verify and issue the Job Site Receiving Report (JSRR) to all concerned parties.
  • Coordinate with the QC department & client to perform the RFI (Request for Inspection).
  • Verify and issue a Material Supply Supply Report (IMSR) to procurement, logistics, suppliers, etc. in the case of OSD or discrepancies found during the inspection.
  • Follow up with the concerned parties to close IMSR as per recommended corrective actions.
  • Coordinate with the supervisors to stack and store the materials as per the storage recommendations provided by the supplier/manufacturer.
  • Ensure the proper preservation of received materials as per the directions of the preservation team.
  • Establish a quarantine area to separate the materials that are related to any OSD/NCR/IMSR.
  • Identify the climatic control warehouse to stack the E&I materials, such as marshalling cabinets, instruments, and security system components.
  • Participate in weekly auditing with the HSE department to ensure the proper storage of the chemicals in the warehouses.
  • Cross verify the Materials Issue Request Voucher (MIRV) from the construction and prepare the materials for the issuance.
  • Coordinate with concerned parties on materials return to the warehouse; check and approve the materials return vouchers.
  • Ensure all documents, log books, etc. are kept up-to-date. Inform the document control team about the changes and corrections.
  • Receive all scrap materials from the site and dispose of them as per the scrap handling procedure of the project
  • Report all movements to the site materials manager
  • Attend weekly meetings with the subcontractors, clients, and other departments.
  • Update materials are part of the Minutes of Meeting (MOM)

  • Update the material arrival notifications to the erection and commissioning supervisors in order to make advance plans.
  • Monitor procurement inventories and keep track of all supply dates, scheduled shipments, and manufacturer details in master files with part numbers and material descriptions.
